Virtual New Intake Evening
New Intake Day: Friday 3rd September (9am – 2pm)
Thank you for your understanding when we had to cancel the New Intake Day due to the government’s delay in lifting Covid-19 restrictions. We hope that you found the videos and remote session useful in your preparations for September. If you have any further questions, please contact email@example.com.
We would like to invite all our new Year 7s to join us on Friday 3rd September between 9am and 2pm for a rescheduled New Intake Day ahead of the whole school start on Monday 6th September. This will give our new students an opportunity to meet their form tutor, explore the school and make new friends. On this day Mellors Catering will be providing a taster menu and all students will receive a free lunch.
Students should report to Student Reception in uniform for a 9am start. Please note that buses will not be running, and all students will need to make their own travel arrangements to and from the academy.
While this event is not mandatory, we strongly advise that students do attend to ensure the best possible start on Monday 6th September. If your child is unable to attend this session, please let the office know by calling 01270 661223. As with any absence we will contact you if your child does not attend and you have not informed us.
Allergies and Dietary Needs
As a school we are very mindful of allergies and dietary requirements. We are a ‘Nut Aware and Peanut Free School’. If your child has a specific dietary requirement and/or allergy we ask that you communicate this with us promptly. It also may be necessary for us to organise a meeting between parents and Mellors Catering. Please find enclosed a booklet from Mellors containing information about their food along with some sample menus. Data Collection Forms
We are still waiting on a few data collection forms to be returned. This form can be found at the centre of the Welcome Booklet. Please detach these pages, complete and return to The Oaks Academy reception. If you are having any issues with these forms or need a new one, please contact reception 01270 661223 or firstname.lastname@example.org.
The Oaks Academy uses digital fingerprint recognition (biometrics) to allow students to pay for food items. On Friday 3rd September, if consent has been received, your child will record their digital fingerprint and be given a letter containing your unique parent ID number which is needed to set up the payment system. We have organised for all Year 7 students to have their photographs taken on Wednesday 15th September.
Summer School: 9th – 13th August (10am – 2pm)
It is great to see how many Year 7 students have signed up for our summer school. This is now fully booked. If you have any questions please contact email@example.com. If you have requested a place, then you will have received more information from Mrs Gemma White and Miss Rebecca Mathars.
New Year 7 students attending the summer school will not have to complete lateral flow testing which is in line with current government guidance.
We are unsure about the Covid situation we will face in the autumn, so we want to be prepared for all scenarios. Subject to public health advice, we expect to offer your child two tests on-site before continuing regular testing at home.
We need your consent for this lateral flow testing to take place within school. This can be done by completing a short Microsoft Form on the website. Please visit www.theoaksacademy.co.uk/lateral-flow-testing/ .
Your child will receive their first test during the morning of Friday 3rd September. The second test will be organised 3 – 5 days after their first test.
After these initial two on-site tests, your child will move to regular home testing. Following government guidance students are encouraged to complete twice weekly lateral flow tests. You must report your child’s test results to the NHS, even if their result is negative or void. Please inform the academy, if this result is positive. These can be communicated to us by calling 01270 661223 or emailing firstname.lastname@example.org.

I write to confirm that as a result of the recent announcements we will not be able to facilitate our transition day which was due to take place Monday 28th June. As a result of this change, I would like to outline the journey we will now take in the lead up to Year 7 commencing in September.
As an alternative to the parents evening that was scheduled for the 28th June we will continue to provide you the opportunity to meet key staff through video links, via the school website. This will also be supported by a Question and Answer session, via Zoom (details below) at 6.30pm on 28th June, hosted by myself and Miss Mathars, Pastoral Manager for year 7.

We feel it is important that both yourselves and your child have the opportunity to meet their form tutor. To do this your child’s form tutor will make telephone contact with you, before the 8th July. After that initial conversation, the form tutor will hold a form Assembly on Thursday 8th July at 4pm, and this will then be followed by a whole year assembly with myself Mrs White on Thursday 15th July at 4pm.
As a result of the cancelled transition day, I am writing to invite your child to the extended Oaks Academy Summer transition programme.
The Oaks Academy Summer school will run from Monday 9th August to Friday 13th August from 10am to 2pm. This will provide the perfect opportunity for your child to work alongside their peers and other pupils, from local primary schools, to form friendships in our school community before they start in September.
Your child will be involved in a wide range of activities, developing new skills and knowledge as well embedding the skills and learning that has already taken place at primary school. We are really excited to be able to meet our new Year 7 students and welcome them into our community.
There is no cost for the summer school, but we would ask that each child brings their own lunch and sufficient drink for the duration of the day. Please indicate on your reply slip if your child receives Free School Meals. As this is an extended opportunity to our initial programme the places are limited, therefore we ask that you inform us in advance of your child’s intention to attend. Please complete the Microsoft forms link or download the return slip and send to the transition email. Following registration, we will provide more details.

I am writing to you to let you know that due to the announcement yesterday from the Prime Minister that covid-19 restrictions will not be lifted next week on 21st June 2021, we will unfortunately no longer be able to continue with our planned New Intake Day for our new Year 7 students on Monday 28th June 2021.
If is with much regret that we have taken this decision, but we are mindful of the need to keep the children and our community as safe and healthy as possible. Sadly, we will be unable to re-organise this event to take place at a later date this term since the restrictions will still be in force.
We will, however, continue to release information and videos via the website which we hope will provide you and your child with a sense of what you might experience at the academy. We will continue to liaise with your child’s primary school teachers to ensure a successful start in September for our new Year 7 students.
In the meantime, please refer to the Welcome Pack provided last month as this contains key information about transition and life at The Oaks Academy.

We are delighted that your son/daughter will be joining us at The Oaks Academy in September 2021. We are currently visiting our feeder primary schools and looking forward to meeting many our future students within their existing Year 6 class.
New Intake Day
The next stage of the transition process will see your child visiting us at The Oaks Academy for our Year 6 New Intake Day on Monday 28th June 2021 from 9am to 2.30pm. We hope that this gives an opportunity for your child to meet their form tutor, be introduced to their form group, have a tour of the academy and experience a couple of lessons.
On the Year 6 New Intake Day your child needs to come into school via the gate for main reception (not the student entrance). Here they will be met by the Year 7 team with senior and pastoral leaders. Please ensure that you provide a packed lunch for your child.
During the day your child will be given a welcome pack to bring home outlining key details regarding uniform, term dates, our school day, equipment and other useful information. Virtual New Parents Welcome Evening
Following the Year 6 New Intake Day we will be holding a Virtual New Parents Welcome Evening between 6pm and 7pm Due to ongoing Covid-19 restrictions and advice we will not be able to welcome you into The Oaks Academy. Instead, this event will be hosted online and further details of this event will be sent to you closer to the time. We are looking forward to welcoming you into the academy, in person, when we are able to.

Welcome to The Oaks Academy
I am delighted that you have chosen the Oaks Academy for the next stage of your child’s education, and we welcome you warmly into our school, either as a new parent, or as a parent with children already at school. Please be assured that we will do our best to support all our students in achieving their potential, whilst recognising and nurturing their individual strengths and talents.
At The Oaks Academy, we believe that a smooth transition to secondary school can really help children settle in and continue to make good progress as they set their path for future success. Over the coming weeks and months, our staff will visit primary schools to see the children in their current settings and your child will also be invited to participate in new intake days here at The Oaks, so that they become familiar with their new surroundings. All staff who have been assigned to the transition process are very experienced and know the school well. We will be liaising with our local primary schools to collate information, but should you require any further information or have any concerns, please do not hesitate to contact us.
You will be receiving an informative and detailed welcome pack for all students and parents, which will provide you with much more information about the school and our transition programme. As part of this pack you will be receiving an ‘all about me’ form and these can be returned by email at email@example.com. Alternatively, you may wish to hand these to our receptionist, Mrs Bridgewater, or place them in the drop box in the reception area.
In September, we will also continue the transition programme from the summer term, so that we can support your child settling in. Mrs Williams, Head of Year 7, will write to you in the coming weeks to provide you with more details about the transition and how we will keep you as parents involved and updated throughout.
